Tennisasia Terms & Conditions

To ensure quality coaching, spaces are strictly limited for all group lessons. Please apply early to avoid disappointment. Please assume your application is successful if you do not receive an acknowledgement email and do not hear from our admin team. TennisAsia reserves the right to change class venue, time and date. Parents will be notified of any changes beforehand whenever possible.

LOCATIONS

Current TennisAsia Competitive Junior Group Lessons are conducted at various locations including venues for all and venues for club members only

  • Blue Ball 3-5 years.
  • Red Ball 5-8 years.
  • Orange Ball 8-10 years.
  • Green Ball 9-10 years.
  • Yellow Ball 11+ years.
  • These are guidelines but exceptions can be made.
  • Please contact our admin team for a trial lesson if you are new to TennisAsia.

PAYMENT

ALL payments will be made by credit card via our registration system – GoTimmy for tennis for all venues.

CANCELLATION:

  • Please make sure you register for the correct class schedule.
  • Once payment is received, there will be NO refunds. 
  • We will follow government guidelines and venue policies strictly with regards to extreme weather conditions, civil unrest or virus outbreaks. 
  • Make-up classes will be arranged where the government or venue enforces class cancellation.

MAKE-UP:

We provide make-ups for prepaid term sessions in the following situations: 

  • Sessions are canceled because of rain.
  • Sessions are forced to cancel because of extreme weather conditions, civil unrest, or virus outbreak. We follow government guidelines and venue policies only.
  • Account credit will be provided to your GoTimmy account.
  • Same rules apply to make-up sessions as camp sessions. Once committed to a make-up session you will be expected to fill that spot and this will count as a lesson taken.
  • TennisAsia offers make-up sessions throughout the term – during regular term sessions, as well as on weekends/public holidays.

 WET WEATHER:

  • No refunds for rained out sessions. 
  • In the event of inclement weather, TennisAsia will decide if sessions will continue 1 hour before the scheduled time of that particular session. 
  • TennisAsia will update parents through whatsapp groups or GoTimmy group emails.

 TOURNAMENT CLASHES:

  • We provide make-ups for prepaid term classes if sessions are missed because of tennis competition at school, national, or international level only. Internal club events do NOT count.
  • If a match takes place – in Hong Kong – on the same day as training, we expect players to attend training as a warm-up before their match.
  • If a match finishes before the training session starts, we expect players to return to training. 
  • Please inform us not later than 24 hours before the start of your prepaid session about match scheduling conflicts. 

SICKNESS & INJURY:

  • No make-ups for sickness & injury. 
  • For long-term (More than 50% of term sessions) sickness, injury, and other health conditions (Medical Documents submitted), refunds can be arranged on a case by case basis.
  • Please DO continue to inform us if you cannot make it to any prepaid session (24 hours in advance) to help coaches plan sessions professionally.

SCHEDULE ISSUES:

  • No refunds for schedule issues including a variety of appointments, school activities, other sports activities, hobbies, etc. 

COACHES:

  • TennisAsia employs internationally qualified professionals only.
  • TennisAsia Director, Jason Sankey, will coordinate with all professionals to ensure consistency in delivery in all venues. 
  • Jason will not be stationed ‘only’ at IRC going forwards, but will oversee all locations and venues to ensure smooth and professional sessions are maintained across the board.

FITNESS:

  • Strength and conditioning will take place at various locations in a professionally structured manner. 

LEVEL:

We look at various factors to determine appropriate levels:

  • Moral strengths.
  • Performance strengths.
  • Tennis skills.
  • Fitness skills.
  • Parental support.
  • UTR.

COMMUNICATION:

To ensure more efficient communication, we encourage:

  • Players and parents to visit tennisasia.com.hk for all information on programs, schedules, venues, coaches, UTR etc.
  • Email [email protected] or your club admin team rather than whatsapp to coaches for all non-urgent matters. (matters that can be solved in more than 24 hours).
  • Coaches will refrain from using phones during sessions except for urgent matters (matters that must be solved in less than 24 hours).
  • Call the Head Coach of a specific venue directly for emergency situations or urgent matters (matters that must be solved in less than 24 hours).

YOUR INFORMATION:

  • It is your responsibility to ensure that the contact information that you provide to us is accurate and up to date. You may update your contact information in our registration system – GoTimmy. Should you have issues updating your information, you must notify via email to [email protected] of the appropriate change.

TERMS

  • Our Group Lessons are by invitation only by our TennisAsia Venue Head Coaches.
  • Sign up only when your child is injury free and ready to commit to all sessions.
  • TennisAsia Head Coaches coaches can make a decision to remove your child from the program if his/her mental or physical skill level or maturity level is too high or low for a specific group.
  • Students (and parents of students under the age of 18) acknowledge and agree that students should obey all reasonable directions of TennisAsia coaches for their safety and accept all inherent risk of accidents that can occur in sports participation of this kind without liability on the part of TennisAsia Elite Ltd.
  • TennisAsia will sometimes be taking photos during our lessons which will be used for marketing purposes such as our social media platforms or the press. We may also share photos with members of our TennisAsia community for their personal use. If you prefer for you or your child not to be photographed, please email [email protected].
  • TennisAsia Elite Limited may update these Terms and Conditions when necessary; we will do our best to notify of changes by email and it is your responsibility to familiarize yourself with these terms and any changes.

PRIVACY

LOCATION:

TennisAsia competitions are currently held at :

  • Indian Recreation Club (IRC), 63 Caroline Hill Road, Sookunpoo Valley, Causeway Bay, Hong Kong.
  • Ladies Recreation Club (LRC), 10 Old Peak Rd, Mid-Levels, Hong Kong.
  • Country Club Hong Lok Yuen, Hong Lok Yuen, Tai Po, N.T., Hong Kong 

PAYMENT:

  • ALL UTR Competition payments will be made via TennisAsia UTR platform. N.B. UTR charges a $US10 fee/player for verified events. This is UTR’s policy, not ours. Another option is to become a UTR power subscriber and you will be able to register for free for any verified events in HK or elsewhere. To become a power subscriber, we have set up a link here where you will receive a $US10 discount on registration. The current annual fee is $USD99. View subscriber benefits here.
  • ALL Non-UTR Competition payments will be made by credit card via our registration system – GoTimmy.

NOTES, RULES & CONDITIONS:

Rules

  • Registration announcements are made on our TennisAsia Instagram and Facebook and our UTR Whatsapp Group platforms.
  • Registration will be opened on the 1st day of each month at 12 noon on the TennisAsia UTR platform.
  • No pre-registration is allowed.
  • Please register to the correct event level.  Your Actual UTR rating must be within the event listed range at the time of registration, otherwise, you will be removed without a refund if the requirement is not met, unless approval is granted by Jason Sankey.
  • If you are unsure of your UTR level, please check with your tennis coach or UTR admin before you sign up for an event.
  • There will be a waitlist for those that miss the deadline for registration or when no spots are available. Please contact UTR admin.
  • Draws and schedules will be usually published 48 hours before the event takes place.

Rules on the day

  • Reporting time: 10 minutes before match time. (Sign in must be done in person)
  • If a court is available and a match has been called, a timer will be set. After 15 minutes, a player who is not present will be defaulted.
  • A default will show up permanently on their UTR record.
  • 5 minute warm-up.
  • Score cards will be present on each match court. Players are encouraged to change their scores throughout each match.
  • Breaks during matches will follow ITF Junior rules. (Appendix - ITF Junior rules)
  • Medical timeouts and breaks will also follow ITF Junior rules. (Appendix - ITF Junior rules)
  • Scoring formats may change, but will be set and established clearly before an event takes place. Please be familiar with these before entering.
  • No coaching on court.
  • No use of mobile phones on match courts.
  • Any outside interference - except from officials - will be considered as foul play and ITF Junior rules will be applied here. (Appendix)

Withdrawals

  • Once you sign up and pay for the event, there will be no refunds when you withdraw from an event yourself for any reason.
  • No make-ups or transfers can be made to other UTR events, due to missed UTR competitions.
  • If a player withdraws after the draws have been published they will be defaulted on the UTR system and an email will be sent to UTR notifying them of misconduct. 
  • You will also be charged an additional $320 (per/person for Singles events) and $480 (per/team for Doubles events) and expected to pay this fee when you register for your next event otherwise you will not be permitted to enter any future events until this fee is settled. You will receive an invoice sent to your UTR registered email - unless a special exemption is approved by Jason Sankey.
  • You should notify the UTR Admin team with more than 72 hours notice if you need to withdraw from an event. You will not be refunded but you will avoid the additional no-show fees.
  • The working hours of the TennisAsia UTR administration team will be Monday to Friday 9am-6pm. Last minute weekend changes can not be accommodated.

CANCELLATION:

  • In the event of inclement weather, TennisAsia will decide if sessions will continue 1 hour before the scheduled time of that particular session.
  • TennisAsia will notify parents through the UTR platform.
  • Refunds will be provided if the event is cancelled due to bad weather. We will refund for the event back to your credit card.

COMMUNICATION:

To ensure more efficient communication, we encourage:

  • The draws/schedule and all communication will be done through the UTR platform - please make sure you check.
  • Email UTR Admin [email protected] or Whatsapp (852) 6829 2158 for any questions.
  • The working hours of the TennisAsia administration team will be Monday to Friday 9am-6pm. We will reply to your message asap, and your messages will be replied to on the next working day.
  • UTR professionals will refrain from using phones during events except for urgent matters and recording educational match play videos.

CONFIDENTIALITY:

Everything shared between client and psychologist will be kept confidential, and will not be shared with ANY third parties except 1) where players are at risk of harming themselves or others 2) players and psychologist agree that it’s in the players’ best interest to share information with a third party. This applies to anything shared within sessions and any reports, or other deliverables, created for the player.

DURATION AND PRICING:

Group Lessons or Workshops will run at scheduled times as described in our event description. Private Lessons are usually 60 minutes, but 90 minute sessions can also be requested based on availability. Unless specified prior to the session, it is at the Psychologist’s discretion to allow a session to run beyond the allocated time if it’s deemed to be in the best interests of the client (e.g. if they’re making significant progress in a session but need more time to resolve the issue). This may be charged on a pro-rata basis if extended time is deemed significant.

PAYMENT:

Payment on our online shop uses Stripe as our payment gateway which supports VISA, Mastercard and American Express. TennisAsia reserves the right to refuse an order if there is non-payment.

DELIVERY:

Currently, our TennisAsia products are shipped locally to Hong Kong address only.

We aim to ship your order the next business day after your order is received. Delivery times will vary depending on the delivery location.
Hong Kong: 1-3 business days.

RETURNS AND EXCHANGES:

If you received a wrong item or if there is a qualiry issue with the product, you can return or exchange the item within 15 days of delivery.

To be eligible for a return, your item must be unused and in the same condition that you received it. It must also be in the original packaging. You must bear the shipping costs.

Several types of goods are exempt from being returned:

  • Gift cards / Certificates
  • Downloadable software products

To complete your return, we require a receipt or proof of purchase.

REFUNDS:

Once your return is received and inspected, we will send you an email to notify you that we have received your returned item. We wil also notify you of the approval or rejection of your refund.

If you are approved, then your refund will be processed, and a credit will automatically be applied to your credit card or original method of payment, within a certain amount of days.

Late or missing refunds:

  • If you haven't received a refund yet, first check your credit card statement.
  • Then contact your credit card company, it may take some time before your refund is officially posted.
  • Next contact your bank. There is often some processing time before a refund is posted.

Sale items:

Only regular priced items may be refunded. Sale items cannot be refunded.

EXCHANGES:

We only replace items if they are defective or damaged. If you need to exchange if for the same item, send us an email at [email protected] and send your item to Flat B, 1/F, 7-9 Shing Ping Street, Happy Valley, Hong Kong.

GIFTS:

If the item was marked as a gift when purchased and shipping directly to you, you'll receive a gift credit for the value of your return. Once the returned item is received, a gift certificate will be mailed to you.

If the item wasn't marked as a gift when purchased, or the gift giver had the order shipped to themselves to give to you later, we will send a refund to the gift giver and they will find out about your return.

SHIPPING RETURNS:

To return your product, you should mail your product to: Flat B, 1/F, 7-9 Shing Ping Street, Happy Valley, Hong Kong.

You will be responsible for paying for your own shipping costs for returning your item. Shipping costs are non-refundable. If you receive a refund, the cost of return shipping will be deducted from your refund.

Depending on where you live, the time it may take for your exchanged product to reach you may vary.

If you are returning more expensive items, you may consider using a trackable shipping service or purchasing shipping insurance. We don’t guarantee that we will receive your returned item.
